Self-hosted, customer-cloud, LabWare-hosted, or fully managed SaaS LIMS+ELN platform automating pharmaceutical QC/QA, stability, environmental monitoring, and bioanalytical workflows for large-pharma multi-site quality organizations and CDMOs.

LabWare LIMS is marketed as part of the LabWare Enterprise Laboratory Platform (ELP) — a unified product family combining LabWare LIMS, LabWare ELN, LabWare Mobile, and LabWare Analytics. The current platform release is LabWare 8 (GA June 12, 2020). In parallel, LabWare ships three SaaS products built on the same core but pre-configured and pre-validated: LabWare QAQC (general manufacturing/pharma/packaging), LabWare GROW (cannabis testing), and LabWare ASSURE (food safety, launched at Pittcon April 2025).

LabWare is privately held (founded by Vance Kershner, ~1987–1988, Wilmington DE), with offices in ~40 countries and customer installations across 125 countries. Customer-count claims diverge across LabWare's own properties: "over 2,500 active customers" (pharma vertical page), "over 10,000 labs worldwide" (Capterra-sponsored content), and "29,000 Laboratories" (reseller).

LabWare does not ship a distinct "LabWare Pharma" SKU. Pharma deployments are delivered through the LabWare Pharma Template / Pharma Industry Solution, a pre-configured database, report library, visual workflow library, and validation script set on top of standard LabWare LIMS. The Industry Solutions library exceeds 250 modules. Configuration runs through the proprietary LIMS Basic scripting language. The installed base spans Pfizer, GSK, Merck, Roche, Novartis, AstraZeneca, Wyeth, and Teva. LabWare acquired CompassRed in 2022, now branded LabWare Analytics, adding a Data Science Engine with native R and Python execution.

Pharmaceutical Edition

LabWare Pharma Template provides lot management, stability study management, environmental monitoring, instrument maintenance/calibration management, CofA generation, pre-built IQ/OQ test scripts, traceability matrices, and visual workflows aligned with QC/QA best practice. LabWare QAQC SaaS (pre-validated, twice-yearly validated upgrades, 30-day customer pre-deployment notice, 99.5% availability) is explicitly marketed as "fully validated" out of the box for SMB and mid-market pharma manufacturers.

Four deployment models: Self-Hosted (perpetual or subscription), PaaS (vendor-managed infrastructure, customer subscription), LabWare Hosted, and LabWare SaaS LIMS (single-tenant database, subscription, fully managed). LabWare's exclusive managed-cloud partner is Simplica, operating on AWS infrastructure ("Simplica Cloud"); Simplica became the partner in 2018 and LabWare SaaS launched on it in 2019. Simplica is sold via AWS Marketplace.

Access via any modern browser, native LabWare Mobile apps for iOS and Android, and Active Directory integration with end-to-end encryption and role-based permissions. SAML/OIDC SSO support is undisclosed. APIs include LabWare web services, HL7 standard interface, LabStation parsing scripts for instrument data, and pre-built connectors for SAP, Waters Empower, Agilent, Thermo, Mettler Toledo, and Körber PAS-X. Underlying architecture reported as Smalltalk core with LIMS Basic configuration layer, J2EE web tier, Oracle or SQL Server database. Top-20 pharma deployments scale to 100+ sites and 1,000s of concurrent users; UL operates LabWare across 110 sites globally since 2005.

Pricing Information

No published list price. Pricing is quotation-based, and LabWare does not offer a free trial (per ITQlick). Two billing models apply: customer-configured ELP sold as a perpetual on-premise licence with annual maintenance (commonly 15–20%, reported at 18–22% by some third-party analyses) or as subscription/PaaS, and the SaaS LIMS (QAQC/GROW/ASSURE) sold OpEx subscription only, with the option to convert to a fully customised LabWare installation later.

Reported deal sizes (third-party estimates): per-user licence $5,000–$15,000; a 10-user lab's Year-1 total $30,000–$75,000; a 100-user licence-only deal $200,000+; mid-cap pharma multi-site typically six figures to low seven figures annually; top-20 pharma multi-site enterprise deals aggregating to multiple millions annually. Minimum SaaS subscription reported as low as ~$300/month for basic functionality. Setup and validation-support fees are billed separately.

Implementation Details

LabWare SaaS LIMS (QAQC/GROW/ASSURE) goes live in under 30 days once customer master data is loaded. Customer-configured ELP implementation runs 3–12 months for a single-site, mid-size deployment. Top-20 pharma multi-site harmonisation runs 12–24 months and longer; UL reached 110 sites over multiple years. Pricing is quotation-based, with professional services, validation services, and training quoted separately. Partner ecosystem: Astrix, CSols, Clarkston Consulting, Zamann Pharma Support, and Simplica.

SaaS master data uploads via spreadsheet. Custom migrations from legacy LIMS, TrackWise, or homegrown systems are SI-led; LabWare's own guidance discourages full historical-data migration in favour of warehousing instead. Common implementation pitfalls: LIMS Basic over-customisation that locks customers into consultants, an upgrade-path penalty when heavy customisation must be re-validated, LabWare-skilled administrator scarcity (reported $75K–$120K/yr salary), customers skipping the Pharma Template and starting from the base product, and underestimating data migration into LabWare's relational tables.

Anonymous feedback from pharmaceutical professionals using this solution

4.5 out of 5

What Users Like

Users praise configurability and flexibility ("their software allows you to customize your system in every aspect"), LIMS Basic power with no vendor reliance for scripting, and long-term reliability ("After 18 years of using LabWare, I am totally happy with it"). Support responsiveness draws positive comment. G2 Spring 2023 metrics: 95% recommend for Instrument Management, 95% for ELN Support, 93% for Workflow Management, and 96% for Sample Management.

What Users Dislike

Users report implementation difficulty and complexity ("complicated to implement and requires someone knowledgeable"), report performance and UI cumbersomeness ("report generation is slow and unintuitive"), resource intensity for customization, upgrade pain ("almost a year to get our environment where we wanted it"), and pricing concerns ("too expensive to migrate"). A 2023 FDA Form 483 to Dr. Reddy's Laboratories cited change-control governance gaps in the customer's use of LabWare LIMS, not a defect in the product itself. Regulatory defensibility of that use rested on the customer's own change-control governance.
