GxP quality content management system for life sciences with document control, version management, electronic signatures, and audit trails. Deployed at 19 of top 20 pharmaceutical companies.
Veeva Vault QualityDocs is a multi-tenant SaaS GxP controlled-document management application delivered on Veeva's Vault platform on AWS. It handles the full lifecycle of SOPs, work instructions, batch records, validation protocols, quality agreements, and other controlled documents for pharma, biotech, CDMO, generic, and medical-device quality, manufacturing, and validation teams.
Out of the box QualityDocs provides Part 11 lifecycles (Draft → In Review → Approved → Effective → Superseded/Obsolete), e-signatures with signature manifestation pages, dynamic watermarks/overlays, Read & Understood workflows, periodic-review automation, controlled-copy generation and tracking, change-control linkage, country/facility/department-based routing, QR-code generation for shop-floor scanning, and a Vault Mobile (iOS/Android) client. The product includes a proprietary GxP Content Reference Model, a pre-built taxonomy of life-sciences document types with Part 11–compliant lifecycles already configured.
QualityDocs is the document layer of the Veeva Quality Cloud and integrates natively with Veeva QMS (process layer — CAPA, deviations, audits, change control), Veeva Training (curriculum, Read & Understood), Veeva Station Manager (shop-floor tablet distribution), Veeva Validation Management (paperless CSV/PV), and Veeva LIMS. QMS workflows are a separately licensed application — buying QualityDocs alone does not include CAPA/deviation/audit process management.
Veeva states (and third parties reproduce) that 19 of the top 20 global pharmaceutical companies use Vault QualityDocs and that 600+ life-sciences organizations run the broader Veeva Quality Suite. Veeva does not disclose a QualityDocs-specific subscriber count; it reports an aggregate 1,552 customers as of January 31, 2026 (up from 1,477 a year earlier).
Veeva Vault QualityDocs is purpose-built exclusively for the life sciences industry. Veeva Systems maintains 100% focus on pharmaceutical, biotechnology, and medical device companies. All 1,552 Veeva customers as of January 31, 2026 are life sciences organizations. The entire Veeva Quality Suite including QMS, QualityDocs, Training, LIMS, Batch Release, Validation Management, Station Manager, and Product Surveillance is designed specifically for pharma quality and compliance requirements.
Multi-tenant SaaS on AWS, hosted in ISO 27001-certified facilities with SOC 1/SOC 2 Type II attestation. 100% redundant hardware, geographically separate disaster-recovery environments tested monthly, nightly backups with 30-day rolling retention, encryption at rest and in transit. Browser-only desktop access (no native desktop client). Native mobile apps: Vault Mobile (iOS 17+/Android 8+) and Vault Station Manager (iOS/Android tablet) - both available on the Apple App Store in China but not on Google Play in China.
Authentication supports Vault credentials, SAML 2.0 SSO (Okta, AzureAD), and OAuth/OIDC for mobile/API. SCIM provisioning is referenced in third-party documentation. API surface: Vault REST API (versioned 3x/year as YY.1/YY.2/YY.3), Vault Java SDK for custom logic (GAMP Cat 5), Vault Loader for bulk operations, Vault File Manager, MDL (Metadata Definition Language) for declarative configuration, and Direct Data API (Feb 2025) with open-source connectors for Snowflake, Databricks, Redshift, Power BI/Microsoft Fabric.
Pre-built connectors are limited to Veeva-to-Veeva (Quality-to-RIM Connection, CRM gateway during Salesforce-to-Vault CRM transition) and partner-built ERP/MES connectors via the AI Partner Program. Data residency: AWS regions including US, EU (Ireland, Germany), and Japan are named for SiteVault. A QualityDocs-specific region map is not published. There is no separate AWS-China (cn partition) data-residency offering, and whether NMPA-aligned in-country hosting is available is unstated. Veeva publishes no TPS or document-volume SLA for QualityDocs specifically; uptime is informally cited at 99.5%+ in third-party analyses.
Veeva does not publish prices on veeva.com, confirmed by G2 and ITQlick listings. Subscription SaaS, named-user, with a base subscription per Vault application. Demos are gated behind sales engagement, and there is no public free trial of QualityDocs proper. Veeva Basics, a pre-packaged offering for small biotechs, includes "QualityDocs Basics" with a templated SOP/forms library and a graduate-to-Vault path.
Reported deal sizes (third-party industry research, not vendor-published): base subscription ~$25K/year minimum; per-user $50–200/user/month, or roughly $500–$1,500/user/month for full enterprise users with multiple modules; enterprise agreements structured around $500K+/year. Per-application user-based licensing means one person needing QualityDocs, QMS, and Training counts as three licenses, so modular rollouts compound cost. Setup fees and minimum commitments are undisclosed.
Typical Deal Size
$1,500/user/month
Timelines: a small biotech replacing manual processes can reach production in 8 weeks (Medicines360: 4 weeks configuration + 4 weeks to migrate 80% of documents). A mid-cap biotech replacing a legacy DMS with partner-led delivery typically completes in 4–9 months with ~900 documents migrated and ~11 scripted test scripts. Top-20 pharma enterprise rollouts have been described as 3-year programs across thousands of users and dozens of sites. A generic estimate of 3–6 months for a basic implementation appears without a named case study behind it.
Services are priced separately. Veeva Professional Services delivers configuration, validation, and migration. Certified partners include Accenture, Deloitte, Capgemini, Cognizant, Genpact, IQVIA, Kalypso (Rockwell), Clarkston Consulting, ProPharma, Valiance Partners (now NNIT Migration Powerhouse), and fme. Veeva publishes an official Vault Migrations developer guide covering documents, versions, renditions, signature pages, audit trails, and document relationships. Large migrations (>10,000 docs, >1,000 large files, >500,000 object records) require advance notification to Veeva.
Common pitfalls reported in case studies and reviews: (i) underspecified document-classification mapping when migrating from Documentum; (ii) attempting to migrate in-flight document change controls (Veeva explicitly warns against this); (iii) under-resourced metadata cleansing leading to weak search results post-go-live; (iv) over-customization via the Java SDK that increases re-validation burden every release.

4.5 out of 5
Based on 14 verified reviews
Reviews on G2 and Gartner Peer Insights describe a clean, intuitive UI ("very friendly platform"), workflow automation that "reduces complexity on a daily basis," cloud accessibility that enables approval from any location, responsive support with infrequent bugs ("only had to report 1 bug in 2.5 years"), and detailed audit trails and search supporting inspection readiness. Veeva customer references including IVI and SK Life Science cite Part 11 compliance and improved inspection readiness as selection criteria.
Users report rendition errors during PDF generation. The permission model around the document owner role is rigid: only Draft and Effective states permit an owner change, not Reviewed or Approved. Reviewers also cite a learning curve for new users, cost prohibitive for small organizations, complex security/role/permission administration, and integration effort with non-Veeva systems. Some users supplement collaborative co-authoring with separate tools where QualityDocs falls short. The three-General-Releases-per-year cadence forces customer revalidation rhythm regardless of readiness.
